Narrator: This section deals with file management. When we were in the word processing section we learned we can create files or documents. Usually this was in the default folder of general. In word processing you can actually create new folders instead of entering general type in the name of the folder you want and it would create it and then in that folder you would create a new document. I’m going to show you another way where you can manage your folders and your documents. From the main menu we’re going to go to the file manager hitting F to go there quickly. Let’s explore the full menu of file manager. Directory would change where on the hard disk or flash drive as it’s preferred to be called on the BrailleNote you would store certain files. Copy files is useful for transferring your files either onto the BrailleNote or to make a copy of it for a second folder or to take your files off of the BrailleNote. Erase files I would recommend only when you’re ready to remove your file as when it is erased it cannot be retrieved from any type of recycle bin. This rename is very useful as I found some students when they are creating a new folder or new file or document in the word processing they had spelled it wrong, they cannot change it in word processing. In this menu is where you can rename your incorrect file. Later you can also learn how to create or change the name of a folder. Again moving a file from one folder to another. Protection. If you have created a document such as a research paper or maybe it’s something special you don’t want to lose you could write protect it so that it could not be added to or deleted by accident. Translate file-If you’re in the word processing document you can resave your document as an alternate format such as rich text if it originally was a Braille file. In the file management menu you can do the same using that feature. Folder manager-All the previous menus we have been listening to under file manager talked about what to do with a file. If you wanted to adjust how a file folder either is located or is named or if you want to delete a whole folder you would go into the folder manager. Let’s take the example of transferring a file onto the BrailleNote. For this part we’re going to need something to transfer on. In this case we either find a file that was located on the SD card or instead of using the SD card you could transfer files using a USB drive. In this case I have a 4 gigabyte drive in front of me. It is very important to make sure that whatever drive you use that it does not have password protection. These types of files do not work on a BrailleNote as there is no method for it to type in a password and authenticate. There are only two slots for it to plug in at the back and it doesn’t really matter which one you pick. At this point you’ll note that it said hard disk ready. The BrailleNote calls a flash drive as we normally call it a hard disk. This is very important when you’re trying to navigate to the various drives on the device. I’ll show you in a moment. At this point we’re going to back up to the main file manager menu. We’re either going to do an E plus space or we’re going to press the thumb button. Exit file manager menu, excellent. We’re going to copy a file now from the hard disk or the USB drive onto the memory of the BrailleNote, source drive press enter for flash disk. I press C for copy or you can navigate through the menu and now it is asking for the drive. Again the spacebar, the spacebar goes through the list. Again to find a folder spacebar press enter when you find the one you want. If you knew the name of the file you wanted you didn’t have to navigate to find it. You could just enter the name of the file and press enter. It knows you want to copy this file. Since it was on the USB drive it automatically assumes you might want to copy it onto the flash disk or the internal memory of the BrailleNote. If this is correct I will press enter. If it’s not correct I can press the spacebar and again go through the drive list. In this manner you could transfer a file that you have on a USB drive onto an SD card if you wanted to. In this case I’m going to continue with the flash drive. At this point I need to select the folder I want to save it on the BrailleNote. I could select general or just like in the word processing menu where I can create a new folder I just type in the name of a folder right now such as test and press enter. It’s going to say this does not exist. It’s asking me if I want to create a new folder. This is very similar to how I created the test folder in the first place. I’m going to press enter. Oh, it said create, I have to push Y and now you’re done copying the file. You could also copy multiple files at any one time. Under the copy menu or the move menu when you have found the file you want instead of pressing enter to select it press M plus the space bar. That will mark the file for moving and you can navigate through the rest of the list of files and you can mark another one again with M plus space. Once you have marked your multiple files whether it be just one or several press enter and the rest of the prompts will ask you where do you wish to save it, the directory and if you want to put it in a certain folder press enter and it will copy all those files. It will also ask you if you want to be prompted for each copying. If you say no it will automatically copy all of them at once. If you say yes please prompt every time it tries to copy one of your marked files you’ll have to say yes for each one. In this case one of our folders is misspelled so we want to rename it. From the file manager menu I’m going into the folder menu. We’re going to cycle forward until we find rename folder. Remembering that the flash disk is the internal memory on the BrailleNote I need to hit the spacebar to find the hard disk or the USB drive, press enter. I’m going to press the spacebar to find the various folders. If I enter correctly the one I need to rename starts with an F, test folder, no and just type in what you need the name to be. My folder has now been renamed. Another way you can transfer files on or off of the BrailleNote is to use a computer connected through a cable and software such as Microsoft’s ActiveSync or from the Human Ware website KeySync. Both programs do essentially the same thing. It connects to the device, in this case the BrailleNote and helps you manage your files. Let’s do an example. This is a USB mini B cord. I’m going to plug it in the back of the BrailleNote. You would have noted that both devices will have a response. The BrailleNote will have a chime. The computer will launch either ActiveSync or KeySync as well as might have a verbal prompt. It’s going to ask you if you want a partnership. If you are a business executive and this is your main means of taking notes, e-mail and synchronizing calendar you’d want a partnership. That way anything you change on your main computer and your BrailleNote will be combined and it will be synchronized, however, in a school setting I think I’d recommend guest partnership. At this point we really don’t need to reference the BrailleNote as everything can be done through the computer. With the software running simply select explore and it will launch a window showing you all the different folders that are on your device. It is important to note that although these folders all appear on the BrailleNote the one you want to find is the flash disk. As we noted before that is where the main memory of all your files have been stored. So navigate to flash disk and open. Here’s all the folders that are on your BrailleNote. Dictionaries are stored here, downloads, general, etc. In this case we’re looking for the folder that I created earlier which was test and you note my two files there. I have File 1 and the second one is just a reference file for the BrailleNote itself. You’ll also know at this point the file is saved as a key word based document. If I try to transfer this file as it is onto my computer and open it, it will not be able to open. Therefore it’s very important to use your BrailleNote to save your file in a format that is able to be transferred off. However, I’ll also note at this time that we could transfer files very easily onto the BrailleNote from this point. Had I created a Braille file and saved it with the extension brl for Braille I could easily transfer it onto the device by grabbing it from the desktop or my documents and bring it into the test folder or to general folder or whichever folder I wanted to move it to. This can also be done with keystrokes if you are the user of the BrailleNote and you’re navigating on a computer yourself keystrokes such as control C to copy can be used at this point as well. The type of files that we transferred from your computer onto the BrailleNote using this method are as follows word format dot doc, word format rich text or rtf, plain text or txt and Braille files or brl.
