When you’re in a key word document you’ll note that if you’re reading with the Braille display certain characters have appeared that you didn’t necessarily type in. ©These are indicated by what looks like an ED symbol or Dots 1, 2, 4 and 6 followed by a letter. These are just giving you indications as to whether you’ve started a new page or a new line or a new paragraph. For example if you see the ED or edit symbol with an L that simply means that your line that you’ve been typing on has now moved on to the next line in the text. For example if you printed you’ll find that even though it’s one long sentence part of the sentence will start on the next line. The indicator just lets you know on the Braille display that you’re going to be carrying on to the next line. If you see the ED symbol with a P that means you have pressed the enter button and you’ve started a new paragraph. When it announces this it will say new line for essentially that is what you’ve done by pressing the enter button, new line, you’ve moved down to a new line and the ED symbol with the P will have appeared. You could also start a whole new page. This is useful if you’re wanting to print off certain sections of your assignment and wanted to keep track of which page you’re on. To force a new page press P with the spacebar. New page, the symbol that you’ll see on the bottom will say ED and F. I like to think of that as saying full page. Another thing you can do in word processing is you can find a certain word for example the word paragraph if I wanted to resume editing from that point. In this case I would use the find command which is F plus space, find, search forward or back. It’s asking me if from my cursor location do I want to move forward to locate that word or from my cursor location go back to the beginning of the document. In this case I’ll press F for forward as opposed to B for back. Forward find, I’m going to type in the name of my word. I don’t even need the entire word. For example in paragraph I’m just going to write para and enter. Para found paragraph, excellent it found the entire word. It read it out to me and my cursor is now located on the word para for paragraph on the P. In addition to finding words in your text you can also find and replace an entire word. Please note it has to be an entire word and not partial words. Instead of hitting F with space, in this case we’re going to hit F with backspace or Dot 7. Find and replace. Search forward or back. Similar to the find feature we want to look forward or back from our cursor position. I’m going to press forward. Forward find, press enter for para. The word I’m going to look for is the word test. Test replace with, press enter for tell. I’m going to replace it with a word sample and press enter. Sample, replace all or first. My option here is either to replace every time I see the word test in the document or just the first time it finds the word test and replace it with sample. I’ll go with first. First space, excellent. In the context of my document I can see the word sample has now been placed in and after it is the space that it just announced. Another feature you can use in the advanced word processing is to switch between two or more files. If you’re currently working on one file but don’t wish to close it when you’re opening another there is a way to do that. Let’s start by opening the first document. Folder name, press enter for general. Document to open, press enter, list of all documents, first doc. We’ll open first doc. Top of document, excellent. Now if I wanted to after typing in this one open the other document and have two going at the same time for example if one of them was the questions for an assignment where the teacher wanted them all composed on a second document I can have a second one running. Let’s do the command Dots 1, 2, 5, and 6 with space. Document to open press enter for demonstration document. At this point I will select from my list. Documents in general folder, first doc, second doc and press enter. Top of document, excellent. Now I have two documents open and I can navigate between both of them by repeating the same command Dots 1, 2, 5, 6 with space, document to open, press enter for first doc. I can navigate to second doc or first doc by pressing 2, 3 and space to go previous or Dots 5, 6 with space to go next. You note that we were last in second doc and it listed first doc. If I hit enter now I’ll be back in the first document. Top of document. If I wanted to switch again Dots 1, 2, 5, 6 and it should give the prompt of second doc. Document to open, press enter for second doc. That way I can switch back and forth between one, two or more documents very easily. Top of document. There may be instances where you forget which file you’re currently in. You went out for a while and came back and forgot which document you were currently writing in. There is a quick way to find out what document we’re at. If you press I with space, information menu. You have two choices. If you press spacebar your first choice is the name of the file, the second one which may be useful in other context is word count. File name, second doc. Perfect, I’m in second doc. You can also save your document in other file formats. By default when you save a file in your word processing section it saves it as a KWB or a keyword Braille file. You could change this default by going to the word processing menu. Main menu, keyword menu and hitting S for setup as opposed to C for create or O for open. Keyword options list. You only have one option in this setup menu. File type for new document, currently Braille document keyword type. As I mentioned before the default is keyword Braille file but I can select A for a straight text file in ASCII format, B takes me back to the keyword in Braille format. There is M for Microsoft Word, Microsoft Word file if you want to save it as Word. There is also R for Rich Text if you want to retain all the formatting. Rich Text format file, P is very important as it will save it as a Plain Braille file. When you save it as a Plain Braille file that file can be removed from your device and used to emboss using other software on a computer. The last two formats that you can save as is T for straight text. Text document keyword type. If you still have access to Word Perfect as a computer program W, Word Perfect file, would save your files as a default to Word Perfect. There is a way to save a document in an alternate format. Let’s show you how. I’m going to open a document, folder name, press, top of document. I’m going to add something to the bottom of my document, bottom of document. Now to save it without exiting I press S with spacebar, document name, press enter for second doc, computer Braille is required. At this point if I press enter all I’ll do is save my file as it is. However, if I want to change the format press X or Dots 1, 3, 4 and 6 with backspace and then release. Create a Braille document, keyword type, document name, press enter for second doc. Computer Braille is required. If I press that again it will cycle through another choice for me to save it as. Narrator: This one’s a text document but also for keyword. Create a text file, file name, computer Braille is required. As we discussed earlier different formats I’m now into ASCII. Create a plain Braille file BRF, file name, computer Braille is required. Create a Microsoft Word file, file name, computer Braille is required. I’m going pick this section as a Word document. I’ll press enter. File name, computer Braille is required. I can either name it the same as it was before or I’ll pick something new. Word, open the new document after saving. It wants to know if I want to continue in the document or if I’m finished converting it. It’s your choice at this point. However I am done with it, I’ll press no. No saving document. Excellent. Now in my general folder there will be a new document created called Word.doc. That can easily be removed from my device, transferred to a computer and my work which I’ve done can be printed off or saved. To access the format menu press THE with space. That’s Dots 1, 2, 4 and 6 with the spacebar. Format menu. In there you’ll find ways to center your line, underline and other formats such as right justify. Layout center align, right justify align, style of presentation, settings, page settings. Any changes you make here in the THE or format menu while you’re in a document only pertain to that document. However, you can make global changes if you go to the main menu in the File Manager and Translation. In there you’ll also find settings to change the line spacing and you can default all of your documents to double spaced. Description: End of video.
